What these tools do and who needs them
Productivity tools make everyday office work faster, and this is the broadest category on the site: notes and project management (Notion AI, Taskade); automatic slide decks (Gamma, Canva AI); meeting recorders (Otter.ai, Fireflies.ai, Fathom); translation and English proofreading (DeepL, Grammarly); workflow tools that chain your apps together (Make, n8n, Sim); and Manus, which takes a task and runs it to completion. Office staff, administrators, solo businesses and social media managers juggling many accounts all shop here.
Three common free-tier traps
1. Free credits are one-time and never refill. Gamma’s free plan is a one-time sign-up credit; Taskade’s free tier is a one-time 6,000 AI credits that the vendor states are not replenished or renewed monthly; Livedocs gives US$5 of AI allowance that cannot be topped up. These tools feel generous in week one and ask for payment in week two.
2. Automation tools cap runs, not features. Make free gives 1,000 credits a month, at most 2 active scenarios and a 15-minute minimum schedule; Teable free allows 100 automation runs a month; Sim free gives 1,000 credits a month with no daily top-up. A workflow that checks your inbox every 15 minutes runs 2,880 times a month, far beyond any free allowance. Note the n8n split: the self-hosted community edition is free forever, but the official cloud has no free tier, only a 14-day trial.
3. Meeting storage is a total, not a monthly quota. Fireflies.ai’s free 400 minutes of storage is a team-wide total that never resets; Otter.ai free caps a meeting at 30 minutes and allows only 3 file imports ever; Fathom free records and transcribes without limit but gives advanced AI summaries only for the first 5 meetings a month.
How to choose: three plain rules
- Separate the software from the AI features. Many tools are free to use with AI billed separately (Notion AI is one); if you only need the basics, you may never pay.
- For automation, count monthly runs first. Multiply the trigger frequency by days, compare with the free run cap, and if you exceed it, compare paid plans or consider self-hosting.
- For credits, check monthly versus one-time. Here 20 tools are subscriptions and 5 are credit-based; treat one-time credits as a trial, not a free plan.
