How to Actually Use Fathom's Free Plan: Recording Really Is Unlimited, Four AI Features Are Not

Fathom is one of the few AI notetakers whose pricing page says “unlimited recordings and transcriptions” outright. Which means the scarce resource on the free plan is not time — it is how often AI digests the recording for you.

1. What free genuinely includes

The Free plan (US$0, single user) lists:

• Unlimited recordings and transcriptions
• Choice of bot-free or bot capture (bot-free marked as a Mac beta)
• Instant AI call summaries
• Clips, playlists and search across calls
• Attendee and keyword search in your own meetings
• Unlimited call downloads and clips

None of these are metered, so “record it and be able to find it later” is complete on free.

2. The four features marked Limited use are what you budget

Marked Limited use on free:

1. AI action items — automatically generated tasks from the meeting.
2. Ask Fathom — a chat interface for a single call.
3. Account-wide Ask Fathom — ask across all your meetings (also flagged as a beta feature).
4. Advanced summarisation is not on free at all — the 15+ expert templates, custom summaries, AI follow-up emails and coaching metrics all sit in paid tiers.

Fathom does not publish a number behind “Limited use”, so we will not invent one. Plan as though you get a handful a month rather than treating it as unlimited.

3. Spend the allowance on the right meetings

Record only, search later:

• Standups, status updates, information-broadcast meetings.
• The value here is finding one sentence later. Keyword search plus clips covers it — no AI call needed.
• In practice: search a name, a project or a number, and jump to that moment.

Worth an Ask Fathom call:

• Customer discovery, decision meetings, cross-team coordination.

Think before recording at all:

• Conversations touching personnel, compensation or legal matters. Consent comes first, and that is an obligation independent of the tool.

4. Bot-free capture is unusually generous for a free tier

Most free tiers in this category offer only bot capture — a participant visibly named something-Notetaker joins your call.

Choose bot-free when:

• The call is external — clients, interviews — and a visible bot changes the room.
• Internal, but your colleagues dislike recording bots.

Stay with the bot when:

• You need a meeting recorded that you are not attending.

Either way, disclosure and consent are still your responsibility. Making the bot invisible does not make the notice optional.
